Sharing a Record with a client

Last updated

Send a Record to one client so they can add it to their own CoverGuard account and come back to it any time, instead of passing around a link.

Who this is for: Agents, Lenders and Insurance professionals on a paid plan, and the buyers and sellers they invite. Where: Share with client on a Record (/properties/<id>), and the invite page your client opens from their email. Time: ~2 min.

This is rolling out gradually. If you don't see Share with client on a Record yet, it isn't switched on for your account. The public link in Sharing a Record publicly still works for anyone.

Why this matters

A public link shows a Record to whoever holds it. A client invite puts the property in your client's own account, so it is waiting for them every time they sign in, and they see it in their own buyer or seller view.

Before you start

  • A paid professional plan.
  • The property in your saved properties or your reports. You can only share a Record you hold.

How to share a Record with a client

  1. Open the Record and find Share with a client in the workspace (below the Record on a phone).
  2. Select Share with client.
  3. In Client, start typing a name or email. Pick someone from your clients, or type any email address and pick Invite {email} as a new client.
  4. Wait a moment while CoverGuard checks the address. The sheet tells you what your client will be asked to do:
  • They'll get an email to sign in and add the property. They already have an account.
  • They'll get an email to create a free account. They're new to CoverGuard.
  1. Add a note if you like. Your client sees it with the invite.
  2. Select Send invite. The confirmation says who it went to and what they'll be asked to do.

You never choose whether your client is buying or selling. A new client picks that when they create their account, and an existing account keeps its own.

What your client sees

Your client opens the invite from their email. Before signing in, they see:

  • the address, your name and photo, and your note;
  • whether the home can be insured, with how confident that answer is and how current it is.

The risk and cost details stay locked until they add the home. Then they see the full Record in their own account.

To add it, your client signs in and selects Add to my properties. If they're signed in with a different email from the one you sent it to, they're asked to confirm before it's added.

A client who is new to CoverGuard creates a free account right from the invite and picks whether they're buying or selling. We email them a link to set their password, then bring them back to your home. A client who already has an account also finds your share under Shared with you on their dashboard and in their notifications, even if they lose the email. Resend and Remind bring that notification back to the top rather than adding another. Opening a home a professional shared with you walks them through it.

Follow up on a share

Every share you've sent from a Record is listed under Client shares, below Share with client. Each one shows who it went to, when, and where it stands, in words:

StatusWhat it means
SentThe invite is in your client's inbox.
ViewedYour client opened the invite.
Awaiting upgradeYour client needs to upgrade to add this property. It's added for them as soon as they do.
AcceptedThe home is in your client's account.
ExpiredThe 14 days passed before your client added it.
RevokedYou withdrew it.
Removed by clientYour client added it, then removed it.
Couldn't sendThe email didn't reach your client.

Statuses update on their own while the page is open, about every 20 seconds. They pause while you're offline and pick up again when you're back. Your clients list shows the same status beside each client, one per shared home; select it to open that Record's list.

What you can do from the list:

  • Resend (Sent, Viewed, Couldn't send, Expired). Sends a fresh link and opens a new 14-day window. The link in the earlier email stops working.
  • Remind (Awaiting upgrade). Nudges your client with a fresh link. You can remind each invite once a day; the list says when you can remind again.
  • Copy link. Copies a new link you can send yourself. It turns off the link in the email you already sent, so the list warns you first.
  • Revoke. Withdraws the share after you confirm. If your client had already added the home, it leaves their account and their saved-property space is freed.

Your in-app notifications tell you when a client adds a home, adds it from a different email, or needs to upgrade. Select one to open the Record's share list.

What it means

  • The free plan holds one saved property. If your client already holds a different property on the free plan, they're asked to upgrade before they can add yours. They can upgrade and add it in one go, or choose Not now and the invite waits until it expires.
  • Sharing the same home again never costs your client a second slot. If they already hold it, it's simply linked.
  • A new client accepts our terms before adding the home. After setting their password they review the Terms of Service, Privacy Policy and NDA once, then come straight back to your home. The share shows Viewed until they add it.
  • Invites expire after 14 days. Send it again if your client didn't get to it in time.
  • This is an insurability assessment, not an offer of insurance. It isn't a quote and doesn't promise coverage or a price.

Tips

  • Pick from your clients when you can. A new email is added to your clients as invited once you send.
  • Sending to someone who already has an open invite from you for the same home sends it again rather than creating a second one.
  • The emails we send you before an invite expires link straight to the Record's share list, so Resend and Remind are one tap away.
