How-to: Managing your book of business

See your active policies, carrier concentration, and upcoming renewals in one place — so you can manage your book proactively instead of reacting when something lapses.

Who this is for: Insurance Brokers. Where: your DashboardBook of Business panel. Time: ~5 min to add your first policies; a quick glance each week after that.

Why this matters

Your book of business is your revenue. Knowing which carriers you've placed with, how much premium volume each one holds, and when policies expire lets you spot renewal windows early, avoid dangerous carrier concentration, and catch gaps before a client calls you.

Before you start

  • An active Professional plan (the Book of Business panel is gated by the underwriting_tools feature).

How to add a policy

  1. Open your Dashboard.
  2. Find the Book of Business panel.
  3. Click Add policy.
  4. Enter the details:
  • Carrier name — the insurer backing the policy
  • Policy type — homeowners, flood, wind, fire, earthquake, etc.
  • Annual premium — the total annual premium
  • Effective date and expiration date
  • Coverage types — the perils and coverages included
  1. Click Save.

The policy appears in your book, sorted by expiration date (soonest first).

What you'll see

Summary strip at the top of the panel:

MetricWhat it tells you
Active policiesTotal policies currently in force
Total premium volumeSum of annual premiums across your book
Expiring in 30 daysAmber warning — renewals that need attention now
Expiring in 60 daysUpcoming renewals to start shopping

Carrier concentration — horizontal bars show how much of your total premium volume sits with each carrier. A heavy concentration in one carrier means more exposure if that carrier exits a market or tightens underwriting.

Status badges on each policy:

StatusColorMeaning
ActiveGreenPolicy is in force
ExpiredGrayPolicy term has ended
CancelledRedPolicy was cancelled mid-term
Non-RenewedAmberCarrier declined to renew
PendingBluePolicy is being placed, not yet bound

Tips

  • Review expiring policies weekly. The 30-day and 60-day counters tell you exactly which clients need re-quoting now.
  • Watch carrier concentration. If more than 40-50% of your book sits with a single carrier, consider diversifying — a carrier exit or appetite change could disrupt a large portion of your revenue. See Alerts: carrier-exit & renewals for automated warnings.
  • Link policies to clients. When you also use the Clients & deals pipeline, your book and your client relationships stay connected.
  • Set up a CoverGuard Agent to scan your book for expiring policies and draft renewal reminders automatically. See CoverGuard Agents.

Troubleshooting

  • "The Book of Business panel isn't showing" → it requires a Professional plan and the Insurance Broker role. Check your role under Account and your plan under AccountSubscription. See Billing & plans.
  • "A policy shows as Expired but it was renewed" → update the expiration date to the new term's end date and set the status back to Active.
  • "Premium totals look wrong" → the summary counts only Active policies. Expired, Cancelled, and Non-Renewed policies are excluded from the premium volume total.

Do this next

Add your current active policies so you have a baseline view, then check the 30-day expiration list and start your renewal outreach.
