How-to: Adding notes to a property

Keep private, categorized observations on any property so your thinking stays organized and nothing slips through the cracks.

Who this is for: everyone — Home Buyers, Sellers, Agents, Lenders, and Insurance Brokers. Where: the Notes section on any Record page. Time: ~1 min.


Why this matters

A Record gives you the data. Notes let you record what the data means to you — a red flag you noticed, a coverage gap to follow up on, a detail a client mentioned. Notes are private to your account; no one else can see them.


How to add a note

  1. Open a Record (search for an address or click a saved property).
  2. Scroll to the Notes section.
  3. Click Add note.
  4. Write your observation — keep it as short or detailed as you like.
  5. Pick a category from the list (General, Risk, Coverage, Compliance, Underwriting, Disclosure, Valuation, or Client). The default depends on your role:
  • Lenders default to Compliance
  • Insurance Brokers default to Underwriting
  • Sellers default to Disclosure
  • Agents default to Client
  • Buyers default to General
  1. Click Save.

Your note appears in the Notes section immediately.


What you can do with notes

  • Pin an important note to keep it at the top of the list, so critical observations are always visible.
  • Edit a note anytime — click the note, make your changes, and save.
  • Delete a note you no longer need.
  • Filter by category when you have many notes on a single property — click a category chip to narrow the view.

What it means

Notes are tied to the property and to your account. They persist across sessions and devices. If you save a property, its notes travel with it to your Dashboard and Property tab.

Notes are never shared — not in branded reports, not in share links, and not visible to teammates. They are your private workspace.


Tips

  • Pin critical observations so they're the first thing you see when you revisit a property — useful for compliance flags or deal-breakers.
  • Use categories consistently when you're tracking many properties. Filtering by category turns your notes into a quick checklist (e.g., show only "Compliance" notes across your pipeline).
  • The CoverGuard Advisor can help you summarize a property's risk into a note — ask it to "summarize the key risks for this property" and paste the result.

Troubleshooting

  • "I don't see the Notes section" → scroll further down the Record; Notes sits below the risk and carrier sections.
  • "My note disappeared" → confirm you're signed into the same account. Notes are per-user; switching accounts won't show them. See Account & login.
